Dear Mr. Madhana,

The Accounting Department would like to inquire about your team’s sales last month.  As stated in your report, you were able to meet the required quota for last month.  However, the details of the report were incomplete when we checked it.  We have found that there were some discrepancies in your report and the records that were submitted by the Finance Department.  Thus, we would like to inquire whether the statistics you submitted to us were checked.  We would also need the receipts of your expenses as well as copies of the sales you have made which were not included in your report.
Please respond within one week after receiving this letter.  We are in the process of completing our own report and we have to make sure that the records are complete and accurate.  Do not disregard this letter since discrepancies may merit sanctions.
